How to Make a Flowchart in Word

This how-to guide teaches you how to create a flow chart in word, with or without a template.

In Microsoft Word, you are given an option to use flowcharts along with many more forms of graphs and charts.

From several pre-made templates to making your charts manually, MS Word gives you the liberty to do a lot more than just this.

I will also guide you on how to change font styles, sizes, colors, and orientations of the text in your flowcharts.

How to Make a Flowchart in Word using template

To start working, you need to have MS Office installed on your device. Once you start working on your document, you can choose the instance where you think adding a flowchart will be most effective.

Once you have decided where you want to add the flowchart, follow the steps given below.

  • Click on the Insert tab in the toolbar.
  • Click on the SmartArt button in the Insert tab.

A menu like the one given below will pop up.

Even though MS Word does not provide flowcharts with standard symbols and shapes, it still works out just fine to represent the sequence of the process from beginning to the end.

To choose a chart,

  • Click on the Process tab.

  • Click on any one process chart from this menu.

All the templates given here are suitable to depict a process from beginning to end. i selected the Picture Accent Process chart. 

Once the chart is selected,

  • Click on OK to add it to your document.

The chart will look like this.

  • Click on any [Text] to edit it.

To increase or decrease the overall size of the flowchart,

  • Click and drag any point you see in every corner of the selected box.

To insert pictures in the chart,

  • Click on the picture icon behind every [Text] box in the chart.

A menu like this will appear. It will allow you to search the pictures online, or upload them from your OneDrive or your Computer.

How to Change the Layout of the flowchart,   

  • Click on the Design tab in SmartArt Tools.

Click on the arrow-down button in the Layouts box to open the list of layouts.

It will open a menu carrying several layouts to choose from.

  • Click on the layout of your choice.

By leaving the arrow over the layout for a second, you can see its name that will allow you to choose according to your needs.

I selected a Step-Down Process layout that shows that this flowchart will depict a process in a descending way.

From these options, i selected the highlighted layout.

You will see that your flowchart is reformed, with all the text still intact in the chart.

How to change the style of the flowchart,

  • Click on the arrow-down button in the SmartArt Styles box under the SmartArt Tools.
    • It will open a menu carrying a number of styles to choose from.

  • Click on any style given in the dropdown menu.

From these options, i selected the highlighted style.

You will see that your flowchart looks very different, with an added dimension, and all the text is still intact in the chart.

How to change the color of the chart,

  • Click on Change Colors in the Design tab under SmartArt Tools.

Here you will find a number of accents and theme colors to choose from.

How to change the shape of the flowchart

You can change the shape of your flowchart as well. To change these pre-existing shapes into particular shapes for flowcharts,

  • Right-click on any shape in your flowchart.
  • Click on the Change Shape button in the dropdown menu.

A menu with several shapes will popup,

  • Click on your desired shape.

The shape will be changed, with your text still intact, but you will have to move your text a bit to adjust it according to the shape in case you are using a triangle, chord, or pie shape.

Since initially there are only three shapes in this flowchart i are using right now (other charts might have more too), you can simply add more shapes (as many as you need) in your flowchart. You can add shapes in any kind of flowchart, using the same steps given below.

  • Right-click on any shape in your flowchart.
  • Click on the Add Shape button.
  • Click on Add Shape After if you want to add another shape after the currently selected shape.

OR

  • Click on Add Shape Before if you want to add another shape before the currently selected shape.

The new shape will appear in your flowchart.

How to add text in the new shape,

  • Click on the empty box in the menu shown on the left side of the flowchart.
  • Type in the text you want to add in the box.

You can also change the font size, style, and color in each of the shapes of your flowchart. To do this,

  • Left-click on a shape.
  • Select the text you want to edit.

  • Click on the Home button in the toolbar.
  • Click on the arrow-down button where the font is shown.

  • Scroll down and click on the desired font.

By hovering over the fonts in the menu, you will be shown how that font looks in your flowchart. This will make it easier to decide the font.

To change the font size,

  • Click on the arrow-down button where the font size is shown.
  • Click on the size you want.

By hovering over the sizes in the menu, you will be shown how big or small the text looks in your flowchart. This will make it easier to decide the font size.

How To change the color of text in flowchart

  • Select the text.
  • Click on the arrow-down button beside the A icon in the toolbar.

A dropdown menu carrying a number of colors will open.

  • Click on your desired color to change the color of your text.

You can also drag and move the shapes of the flowchart if you want to do that for some reason. Moreover, other than using the template, you can also make your own flowchart manually. It will take a bit of time and effort, but if you would like to make a unique flowchart according to your own preferences, you can do that by following the steps given below.

  • First, click on the View button in the toolbar.
  • Click on the box besides Gridlines.

This will add gridlines across the pages that will help you place the shapes uniformly.

Then,

  • Click on the Insert tab in the toolbar.
  • Click on Shapes in the menu under Insert.

A dropdown menu will open, carrying a large variety of shapes.

  • Click on the desired shape.
  • Drag and drop your cursor on the page to draw the selected shape.

The shape will appear like this. It will be colored initially. You can choose to remove the filled color and, change the outline’s thickness and color as well.

You can also change the shape altogether, or change any point of it manually. To do so,

To change the complete shape

  • Click on the Change Shape button.
  • Click on the required shape from the dropdown menu.

Your selected shape will appear on the page instead of the previous one.

To edit the shape manually,

  • Click on the Edit Points button.

You will see the shape like this

  • Click on the black dot in any corner of the shape and drag it around.
  • Leave the dot when you achieve the desired shape.

If you wish to change another corner of the shape,

  • Click and drag/move around the required corner until the desired shape is achieved.

This is the manually edited version of the shape i selected above.

After you have your desired shape, to get more of the same shape,

  • Copy the shape, and paste it as many times you want.

If you need different shapes, you can get them by following the same steps given above.

After this, you will need connecting arrows to show the ongoing process. For this,

  • Click on the Insert tab in the toolbar.
  • Click on Shapes in the menu under Insert.
  • Click on the arrow you need.
  • Drag and drop your cursor on the page to draw the selected arrow.
  • Copy the arrow and paste it between every shape you have made.

Your flowchart will look like this. To clear the shapes, so the text is easier to read.

  • Right-click on the shape.

A floating menu will appear.

  • Click on the Fill button in the floating menu.

A dropdown menu will appear.

  • Select the No Fill option from the dropdown menu.

To change the outline and thickness of the shape,

  • Click on the Outline button on the floating menu.
  • Click on the required color.
  • Click on the Weight button.
  • Select the required thickness or thinness of the outline.

Repeat this step for all the shapes. If you don’t want to remove the filled color of a shape and just want to change it, you can do so by selecting any color from the dropdown menu that appears when you click on Fill. Once you’re done, click on any shape and start writing the data you want the flowchart to represent.

The rest of the changes in the color of the text, size, and font style could be done the same way as you did in a ready-made flowchart. However, it is highly recommended to use a pre-made chart to save your time and effort.
